What you need#
- A Google Business Profile, and the Google account that manages it. Heropost lists every location that account can manage.
- A plan that includes Google Business Profile. Every plan sold today does. The original Lifetime plan can't connect it: choosing it opens Time to Level up!. Some older plans have a separate, smaller allowance for X, TikTok, Google Business Profile, Threads and Bluesky together; see How many accounts your plan includes.
- Pop-ups allowed for app.heropost.io.
- The owner or Admin role in your Heropost workspace.
In Heropost, Google Business Profile is called Google My Business: that's the name on its tab in the post editor and in messages.
Connect your locations#
- Click your workspace name at the top of Heropost, then Accounts.
- Press Add Profile and choose the Google Business Profile logo.
- Google opens in a small window. Choose the Google account that manages your Business Profile.
- On Google's permission screen, tick the box that lets Heropost manage your Business Profile, then continue. If it's left unticked, Google refuses and no locations can be listed.
- Back in Heropost, Add Social Account lists your locations under Profiles, each with its address. Tick the ones you want, or press Select All.
- Press Done. Heropost shows Account successfully added.
Each location is one account in Heropost, and counts as one account on your plan. With more than five locations, a Search box helps you find them.
No locations are listed#
- The "manage your Business Profile" box wasn't ticked. Add Google Business Profile again and tick it on Google's screen.
- You chose a different Google account. Add it again and choose the account that manages the profile.
- That account doesn't manage any location. Check your access in Google Business Profile, or ask the profile's owner to add you, or to connect it through an invite link.
What you can post#
| Post | Supported | Details |
|---|---|---|
| Update with text | Yes | Up to 1,500 characters. |
| Update with a photo | Yes | One JPG or PNG, up to 15 MB, between 400 × 300 and 10,000 × 10,000 pixels. |
| Button | Optional | Book, Order online, Buy, Learn more, Sign up or Call now. |
| Video | No | |
| Several photos | No | One photo per post. |
| Offers and events | No | Heropost publishes standard update posts. |
| First comment | No |
Every post needs text, a photo, or both. If Google refuses a photo, Heropost saves it again as a JPEG and tries once more.
Options in the Google My Business tab#
- Caption: the text of your update, up to 1,500 characters. The preview cuts it after 100 characters with "... more".
- Add a button (optional): None (the default), Book, Order online, Buy, Learn more, Sign up or Call now.
- Link for your button*: the web address the button opens. Required for every button except Call now, which needs no link. The preview doesn't show the button.
- Take media, caption from the All tab: switch it on to reuse the All tab's photo and text. The button stays on this tab.
Picking a new photo replaces the current one. Photos get your watermark, if you set one for the location or the workspace.
Limits and holds#
- No holds from Heropost. Heropost doesn't pause Business Profile locations. When Google refuses a post, the failed post shows Google's reason.
- Connections. Heropost renews its access to Google each time it posts. If Google refuses, posts fail with a message ending "Please reconnect this GMB account with Heropost." Reconnect the location with the Google account that manages it.
Analytics and the Social Inbox#
- Analytics: Google doesn't provide statistics for Business Profile posts, so Heropost has none to show. The posts themselves publish normally.
- Social Inbox: your Google reviews. The 50 most recently updated reviews of each location appear in the Comments tab, with their star rating and text. Your reply is published on Google as the business owner's reply. See The Social Inbox.
To share your best reviews as posts on your other networks, use the Google Reviews automation.
Errors and fixes#
When you connect or reconnect#
| Message | What it means | What to do |
|---|---|---|
| Time to Level up! | Your plan doesn't include Google Business Profile (the original Lifetime plan). | Press Upgrade to see plans. See Lifetime plans explained. |
| "Looks like you've reached the limit of your plan. Please upgrade your account to access for features." | The workspace owner's plan has no room for another account, or for another account on these networks. | Remove an account you don't use, or upgrade. See account limits. |
| "Authentication cancelled" | Google's window was closed or blocked, or you didn't allow access. | Allow pop-ups for app.heropost.io and try again. |
| You allowed access, but no locations appear, or an error appears | The box to manage your Business Profile was unticked on Google's screen. | Connect again and tick it. See No locations are listed. |
| "Selected account not found" | You reconnected with a Google account that can't manage this location. | Reconnect with the Google account that manages it. |
In the post editor#
| Message | What it means | What to do |
|---|---|---|
| "You can upload only 1 file" | A Business Profile post takes one photo. | Keep one photo. |
| "Wrong file format. Please upload JPG or PNG" | Business Profile posts take JPG and PNG photos only. Videos can't be posted. | Use a JPG or PNG. |
| "Image size limit: 15MB maximum" | The photo is over 15 MB. | Compress it. |
| Incorrect Image — "Oops, your image does not correspond to GoogleMyBusiness requirements: This image is too small. Make sure your images are at least 400 x 300 pixels. Current image is {w} x {h}" | The photo is smaller than 400 × 300 pixels. | Use a larger photo. |
| Incorrect Image — "… This image is too big. Make sure your images are at most 10000 x 10000 pixels. Current image is {w} x {h}" | The photo is larger than 10,000 × 10,000 pixels. | Press Go to Editor to crop it, or use a smaller photo. |
| "You can have up to 1500 characters in caption" | The text is too long. | Shorten it. |
| "Invalid link for the button" | The button needs a full web address. | Paste the full address, starting with https://, or choose Call now or None. |
| Hovering Schedule All shows "Please select accounts for Google My Business" | Google My Business is on for this post, but no location is ticked. | Tick one, or switch it off for the post. |
When you schedule, the same rules are checked again: "Unable to post because Google My Business requires caption or media." means the post has neither text nor a photo. Add one on the Google My Business tab.
When a post fails#
Failed posts are listed under Content → Posting Errors. Google's own messages are shown as Google wrote them.
| Message | What it means | What to do |
|---|---|---|
| "GMB error. invalid_grant. … Please reconnect this GMB account with Heropost." | Google ended Heropost's access. | Reconnect the location, then send the post again with Duplicate Failed. |
| "GMB error. {error}. {description}." | Google refused Heropost's access for another reason. | Try again. If it repeats, reconnect the location. |
| Another message from Google, for example about the text length | Google refused the post and gave its reason. | Send the post again with Duplicate Failed, and fix what Google describes on the copy's Google My Business tab before you schedule it. |
| "Your subscription does not include Google My Business" | The location was connected earlier, but the workspace owner's plan doesn't include it (the original Lifetime plan). | Upgrade, or untick Google My Business in your posts. |
Failed posts aren't sent again by themselves. After fixing the cause, open the post from Content → Posting Errors and choose ⋮ → Duplicate Failed: you get a draft with only the accounts that failed, ready to schedule. See The Posting Errors page.
