How it works#
When someone invites you to their workspace, you join their team with a role: Admin, Editor or Viewer. You work in their workspace with your own Heropost login.
- It costs you nothing. You work on the workspace owner's plan. You don't need a plan of your own.
- Your role decides what you can do. For example, Editors write posts and submit them for approval. See Roles and permissions.
- You only see what you were invited to. The owner's other workspaces stay private, and the owner doesn't see your other workspaces.
- No free trial. Accounts created from a team invitation work on the owner's plan, so they don't get the trial.
Accept an invitation#
- Open the invitation email ("You've been invited to join {workspace} on Heropost as an Editor", or Admin, Viewer) and press the link. It works for 7 days.
- New to Heropost: the Sign Up page opens with your email filled in. Add your name and a password, press Next, then confirm your email with the code or link Heropost sends.
- Already have a Heropost login with that email: Heropost sends you to Log In. Sign in with that email. If you never confirmed it, confirm it from the email Heropost sends.
- Heropost shows Accepting invitation..., then You're in!, and opens Home with the workspace selected.
Accept with the email you were invited at. Signed in with another one, you see "This invitation was sent to {email}. Please log in with that account to accept." Log out, then open the link again and log in with the invited email.
Find your way around#
- The workspace menu at the top of Heropost lists the workspaces you were invited to. Click one to switch. While you belong to someone else's workspace, New Workspace and Manage Workspaces aren't in that menu. To open workspaces of your own, see the last question below.
- Owner-only buttons: Settings, Accounts, Members and Watermark in that menu show only to the workspace owner.
- On a phone: tap the Workspace tab at the bottom, then the workspace's name to switch.
- On another computer or browser, you may need to switch to the team workspace again: Heropost remembers your last team workspace in each browser.
- The Team menu shows the workspace's members and approvals. What you can change there depends on your role.
What comes from the owner's plan#
| What | Whose |
|---|---|
| Posts, and storage for files you upload | Count toward the owner's plan |
| Social accounts and X credits | The owner's. Accounts connected to the workspace count toward the owner's plan. |
| Hero_Agent and AI actions | The owner's monthly allowance |
| Hero_Photo credits | The owner's. Only the owner can buy more: others see "Ask the workspace owner for more photo credits." |
| Team seats and approvals | The owner's plan. See Team seats on each plan. |
Your Billing page#
If you have no plan of your own, Billing shows "Your plan is provided by your workspace owner. You don't need a subscription to collaborate here." and a Get your own plan → link. Working in someone else's workspace never costs you anything.
Leave a workspace#
There's no Leave button. Ask the owner or an Admin to remove you on Team → Members. Admins can remove themselves there.
Once you're removed, your access to that workspace ends straight away. Your Heropost login stays.
If it doesn't work#
| What you see | What it means | What to do |
|---|---|---|
| "This invitation has expired." | Invitations work for 7 days. | Ask for a new invitation. |
| "This invitation was sent to {email}. Please log in with that account to accept." | You're signed in with a different email. | Log out, open the link again and log in with the invited email. |
| Couldn't accept invitation, with a plan message | The workspace has no free seat, or its owner's plan doesn't include a team. | Ask the owner. Once they've made room, open the link again. |
| "Looks like you've reached the limit of your plan. Please upgrade your account to access for features." while you work | The owner's plan no longer includes team members. | Ask the owner to check their plan. |
| "Your account doesn't have an active plan. Please upgrade to use this feature." while you work | The owner's plan has ended. | Ask the owner to renew it. |
| "Access denied to this workspace." | You were removed from the workspace. | Ask the owner if that's a mistake. |
More invitation messages: Invite your team.
Questions#
Do I need to pay to work in someone's workspace?
No. You work on the owner's plan. Billing says "Your plan is provided by your workspace owner."
What can the owner see about me?
Your name and email, on Team → Members, plus your posts, comments and approvals in their workspace. They don't see your other workspaces.
Can I connect my own social accounts?
Only the owner and Admins connect accounts, and the accounts go into the owner's workspace, on the owner's plan. If you need your own workspace for your own accounts, choose a plan of your own.
Why didn't I get a free trial?
Accounts created from a team invitation work on the owner's plan, so the free trial isn't added.
I also have my own workspaces. Why don't I see them in the workspace menu?
While you belong to someone else's workspace, the workspace menu lists only the workspaces you were invited to, without New Workspace and Manage Workspaces. To see and open all your workspaces, go to app.heropost.io/manage-workspace, or on a phone tap the Workspace tab, then the workspace's name.
