What you need#
- A LinkedIn account. Your personal profile is always available to connect.
- To post as a company: Super admin of its LinkedIn Page. LinkedIn only shares Pages where you're a Super admin, so a Page where you have another role may not be listed.
- The owner or Admin role in your Heropost workspace.
Connect your profile and Pages#
- Click your workspace name at the top of Heropost, then Accounts.
- Press Add Profile and choose LinkedIn.
- LinkedIn opens in a small window. Sign in if LinkedIn asks, and allow access.
- Back in Heropost, Add Social Account lists your personal profile under Profiles and your Pages under Pages. Tick the ones you want.
- Press Done. Heropost shows Account successfully added.
Your profile and each Page are separate accounts in Heropost. Posts to your profile appear as you; posts to a Page appear as the company.
A Page is missing? Check your role on LinkedIn: open the Page as an admin and look at its admin settings. Once you're a Super admin, add LinkedIn again and the Page appears.
What you can post#
| Post | Supported | Details |
|---|---|---|
| Text only | Yes | Up to 3,000 characters. |
| Photos | Yes | Up to 9 JPG, PNG or GIF images. |
| Video | Yes | One MP4 or MOV, 3 seconds to 15 minutes, up to 5 GB. |
| Photos and video together | No | Use photos, or one video. |
| Link post | Yes | Post Type Link. The post shows an article card with the page's title, description and preview image. |
| Documents (PDF carousels), polls, alt text | No | To share a PDF, post a link to it, or save its pages as images in one post. |
| Text | Limit |
|---|---|
| Caption | 3,000 characters |
| First comment | 20,000 characters |
Photo size. The editor accepts photos up to 30 MB. LinkedIn's own recommendations, listed under Media Requirements in the upload box, are images under 5 MB, at least 552 × 276 pixels, between 3:1 and 2:3 in shape. Staying within them gives the best results.
Options in the LinkedIn tab#
- Post Type: Media/Caption (text, photos or a video) or Link. A Link post can't carry your own photos or video.
- Link: the address for a Link post. Use the full address, starting with https://.
- @mentions: in the caption, type @ and the start of a company's name, then pick it from the suggestions. Tick a LinkedIn account on the post first; Heropost uses it to search.
- First Comment: posted from the same profile or Page right after the post goes out. See Add a first comment.
Limits and holds#
Connections expire. LinkedIn sets how long Heropost's access lasts. Heropost renews each connection automatically in the week before it expires, while LinkedIn allows it. When a connection lapses anyway, posts fail with "LinkedIn error. The token used in the request has expired", and Hero_Agent on Home lists the account as needing attention.
To fix it, reconnect the account, signing in as the Page's Super admin. Then send the failed posts again: open each one from Content → Posting Errors and use ⋮ → Duplicate Failed.
Analytics and the Social Inbox#
- Analytics: for Pages, reach, views, likes, comments and shares for each post. Heropost doesn't show post analytics for personal profiles. See Analytics.
- Social Inbox: comments on your Page's posts, which you can answer. This needs one extra step, because LinkedIn grants inbox access separately:
- On the Accounts page, open the ⋮ menu on the LinkedIn Page and choose Connect inbox.
- LinkedIn's sign-in opens in the same tab. Sign in as the Page's admin and allow access.
- Heropost shows LinkedIn inbox connected: "Comments on your LinkedIn page posts will appear in the Social Inbox after the next sync." Press Go to Social Inbox.
If it shows Could not connect LinkedIn inbox with a reason, press Back to Social Accounts and try Connect inbox again. See Connect the LinkedIn inbox.
Errors and fixes#
When you connect or reconnect#
| Message | What it means | What to do |
|---|---|---|
| "Authentication cancelled" | LinkedIn's window was closed or blocked, or you didn't allow access. | Allow pop-ups for app.heropost.io and try again. |
| Only your profile is listed | LinkedIn shares only Pages where you're a Super admin. | Become Super admin of the Page, then add LinkedIn again. |
| "Selected account not found" | You reconnected with a LinkedIn account that can't manage this profile or Page. | Sign in to LinkedIn as the profile itself, or as the Page's Super admin. |
In the post editor#
| Message | What it means | What to do |
|---|---|---|
| "You can upload up to 9 images or 1 video" / "You can upload up to 9 files" | Too many files, or photos mixed with a video. | Keep up to 9 photos, or one video. |
| "Please select only one video file at a time" | You added a second video. | Use one video. |
| "Wrong file format. Please upload JPG, PNG, GIF, MP4 or MOV" | LinkedIn posts take those types only. PDFs aren't accepted. | Convert the file, or link to the PDF. |
| "Image size limit: 30MB maximum" / "Video size limit: 5120MB maximum" | The file is too big. | Compress it. |
| "Duration of the video must be between 3 seconds and 15 minutes" | The video is too short or too long. | Trim it. |
| "You can have up to 3000 characters in caption" / "You can have up to 20000 characters in first comment" | The text is too long. | Shorten it. |
| "Link is required" / "Invalid URL" | A Link post needs a full web address. | Paste the full address, starting with https://. |
| "Codec is not supported. For more information please check requirements" | Your browser can't read the video. | Export it again as an H.264 MP4. |
| Hovering Schedule All shows "Please select accounts for LinkedIn" | LinkedIn is on, but no LinkedIn account is ticked. | Tick one, or switch LinkedIn off for the post. |
| "Unable to post because LinkedIn requires link." / "Unable to post because LinkedIn requires caption or media." (when scheduling) | The LinkedIn version is missing its link, or is empty. | Add the link, or text or media, on the LinkedIn tab. |
When a post fails#
Failed posts are listed under Content → Posting Errors. LinkedIn's own messages start with "LinkedIn error."
| Message | What it means | What to do |
|---|---|---|
| "LinkedIn error. The token used in the request has expired" | The LinkedIn connection expired. | Reconnect the account, then send the post again with Duplicate Failed. |
| "LinkedIn error." followed by LinkedIn's message | LinkedIn refused the post and gave its reason. | Read LinkedIn's reason, then send the post again with Duplicate Failed and fix the copy before you schedule it. |
| "PostId cannot be retrieved" / "ETag cannot be retrieved" | LinkedIn didn't confirm the post. | Check the profile or Page on LinkedIn: if the post isn't there, send it again with Duplicate Failed. |
| "Failed to create a comment to LinkedIn post" | The post went out, but the first comment didn't. | Add the comment on LinkedIn. |
Failed posts aren't sent again by themselves. After fixing the cause, open the post from Content → Posting Errors and choose ⋮ → Duplicate Failed: you get a draft with only the accounts that failed, ready to schedule. See The Posting Errors page.
Questions#
Why can't I see my company Page?
LinkedIn only lets a Page's Super admin connect it to an app. Ask a Super admin to give you that role, or to connect the Page themselves, for example through an invite link.
Can I post a PDF or document carousel?
No. Heropost posts text, up to 9 photos, one video or a link to LinkedIn. To share a PDF, link to it, or post its pages as images.
Can I post to my profile and my Page at the same time?
Yes. Tick both in the post. Each one is published as its own post.
Why are there no analytics for my personal profile?
Heropost shows LinkedIn post analytics for Pages only.
Do I need to reconnect LinkedIn regularly?
Sometimes. Heropost renews LinkedIn connections automatically, but LinkedIn can still end one. When posts fail with "The token used in the request has expired", reconnect.
