Write once, then adjust it for each network

Write the caption, link, first comment and media once on the All tab, and every network uses them. When a network needs its own version, switch off Take … from the All tab on its tab and write it there.

How it works#

A post that goes to several networks has an All tab. What you write there (the caption, link, first comment and media) goes to every network whose tab has Take … from the All tab switched on. That's the default, so most posts are written entirely on the All tab.

When a network needs something different, such as a shorter caption for X or other photos for Pinterest, open that network's tab and switch Take … from the All tab off. The network then uses its own fields, and the All tab no longer changes it.

When a post has an All tab#

The All tab appears when a post is started for more than one network: from All Accounts, Social Network → All, a posting group with several networks, or New Post when your last post had one. A post for a single network has no All tab: each of its tabs has its own fields.

The All tab can't be added to a post afterwards. If you add a network to a post without one, its tab starts empty: write its version there, or copy text across with the sync icon (see Copy text or media to every network).

Write once on the All tab#

  1. Click the All tab.
  2. Add your media, and write the Caption. If the post is a link post, add the Link. Add a First Comment if you want one.
  3. Click each network's tab to check its preview, and fill in that network's own options, such as Post Type, Location, YouTube's Title or TikTok's Who can watch this video.
  • The counter shows the strictest limit. The All tab's caption counter uses the smallest limit among the networks that take its text. With X in the post, that's 280 characters.
  • Each network still checks the shared content. If the All tab's caption or media breaks a network's rule, that network's tab gets a red dot and the reason. Fix it on the All tab, or give that network its own version.
  • Network options always stay on the network's tab. The switch only covers the caption, link, first comment and media. Post types, locations, YouTube and Pinterest titles, TikTok's privacy and Google Business Profile buttons are set on each tab.

Give one network its own version#

  1. Open the network's tab.
  2. Switch off Take … from the All tab. The network's own fields appear.
  3. Write that network's version. On a new post, these fields start empty: nothing is copied from the All tab.

Want to start from the All tab's text? Copy it from the All tab's Caption before you switch, paste it into the network's own caption, then edit it. (The sync icon copies it too, but into every network that has its own version: see the next section.)

Switching Take … from the All tab back on doesn't delete the network's own version. The network uses the All tab again, and its own text comes back if you switch it off later.

What each network can take from the All tab, as the switch says:

Copy text or media to every network#

When a post has more than one network, each text box has a sync icon whose tooltip reads, for example, "Update caption to all social networks". Under the caption and the media you'll also see Update caption to all social networks? and Update media to all social networks? with an Update button. On YouTube the caption prompt reads Update description to all social networks?.

  • Update copies that text or media into every network that has its own version, replacing what's there. Networks that take the All tab already have it, so they're skipped.
  • Used from a network's tab, it also replaces the All tab's version.
  • First comments are only copied to networks that have one, and never to Stories.
  • Each tab that receives a copy gets a blue dot until you open it.

Update overwrites every network's own version at once. To change one network only, edit it on that network's tab.

Post types on each tab#

Some networks have a Post Type on their tab. It applies to that network only:

A Link post shows a preview card of the page instead of your own media, so the upload area is grayed out on that tab. What each network supports: Networks at a glance.

Things that only work on a network's tab#

  • @mentions. On Facebook (caption and first comment) and LinkedIn (caption), type @ and a name to tag a Page or company. This works on the network's own fields, so switch off Take … from the All tab first.
  • X's character count. X counts links as 23 characters and some characters, such as emoji, as two. The X tab counts the same way. Learn more in Connect X.
  • Telegram's caption with media. Telegram allows 4,096 characters, but only 1,024 when the post has photos or a video. Heropost checks this when you schedule.

If it doesn't work#

What you see What it means What to do
The X tab has a red dot: "Tweet is not valid. You can have up to 280 characters." X takes the All tab's caption, and it's too long for X. On the X tab, switch off Take media, caption from the All tab and write a shorter X version.

Questions#

Can I give one network different photos?

Yes. On that network's tab, switch off Take … from the All tab and add the media there. The other networks keep using the All tab's media.

Can each network go out at a different time?

No. A post has one date and time for all its networks. For different times, make a copy with ⋮ → Duplicate, keep one network on each, and schedule them separately.

Can two accounts on the same network get different text?

Every account on a network gets that network's version. For different text, duplicate the post and select a different account on each copy. Or use spintax, which gives each account its own pick of variations: see Caption Library, hashtags and spintax.

Do I lose a network's version if I switch the All tab back on?

No. Its version stays saved but unused. Switch Take … from the All tab off again to use it. Switching the whole network off in Posting Settings, though, deletes it.
