How seats work#
- The workspace owner's plan decides. Seats come from the plan of the person who owns the workspace, not from the person invited or the Admin who sends the invitation.
- You don't take a seat. The owner isn't counted. On a plan sold as "3 users", that's you plus 2 team members.
- Seats are counted in each workspace. On Pro, each of your workspaces can have 2 team members besides you. Someone who joins two of your workspaces takes a seat in each.
- Invitations don't use a seat until accepted. You can send more invitations than you have seats, but once the workspace is full, the next person can't join.
- The people you invite don't need a plan. They work on yours.
- Approvals come with team seats. Every plan with team members also has approvals.

- The AI agents add-ons (Agent Growth, Agent Pro, Agent Agency) don't add seats. Seats come from your scheduler plan.
- More than one plan? You get the best of them. For example, a Lifetime Starter owner who also pays for Pro gets Pro's seats.
- Not sure which plan you have? Open Billing.
Check how many seats you use#
Open Team → Members in the workspace. The top line reads "{n} members in this workspace" and counts you as well. So on Pro, a full workspace shows 3 members.
Billing has no meter for team members.
When the workspace is full#
- Inviting someone shows "Looks like you've reached the limit of your plan. Please upgrade your account to access for features."
- Accepting an invitation shows Couldn't accept invitation.
To make room, remove someone on Team → Members (press × on their row): the seat is free straight away. Or move to a plan with more seats: see Upgrade or change your plan. There are no single seats to buy.
If the owner's plan changes#
- Fewer seats than people: everyone already in the workspace stays. You can't invite anyone else to it until the team is under the new limit.
- No team members on the new plan (for example, Growth, or the free trial ended without a plan): members see "Looks like you've reached the limit of your plan. Please upgrade your account to access for features." as they work in the workspace, and the buttons their role allows are missing. When the owner has no plan at all, the message is "Your account doesn't have an active plan. Please upgrade to use this feature."
- Back on a plan with a team: everyone can work again. Nobody needs a new invitation.
Some older lifetime plans show an upgrade window instead, Time to Level up!, when you try to add a team.
Questions#
Does the person I invite need their own plan?
No. Team members work on the workspace owner's plan, and their Billing page says "Your plan is provided by your workspace owner."
An Admin invited someone. Whose seats does that use?
The workspace owner's. Seats always come from the owner's plan.
Do pending invitations use a seat?
No. A seat is used when someone accepts. Revoke invitations you no longer need on Team → Invite so nobody joins unexpectedly.
Can I add one extra seat on Pro?
No. Pro has 2 team members in each workspace. For more, move to Agency or Lifetime Agency, which have no limit.
Does the free trial include a team?
Yes. During the 7-day trial you can invite as many people as you like, with approvals. When it ends, the team keeps working only if you choose a plan with team members. See Your 7-day trial.
