How the calendar works#
The calendar shows the posts of the workspace you're in: every scheduled post on its date, and every published post on the day it went out. Drafts and posts waiting for approval aren't on the calendar; find them under Content → Drafts or in the Feed.
All dates and times are in the workspace's time zone. To change it, see Workspaces.
Open the calendar#
- Click Calendar in the left menu. It opens on this month.
- From Home, click Open calendar.
- On a phone, tap the calendar icon in the bottom bar.
Move around#
| Control | What it does |
|---|---|
| Month, Week, Day | Switch view. Each switch opens on today. |
| ‹ and › | The previous or next month, week or day. |
| The period label | Shows where you are, for example "October 2026", "5 - 11 Oct. 2026" or "Wednesday, October 7, 2026". |
| Today | Jump back to the period that contains today. |
The first day of the week and the 12- or 24-hour clock follow your browser's language settings. Switching workspace also brings you back to today.
The three views#
Month. One cell per day, with the days of the neighboring months at the start and end. A day shows up to two posts; if it has more, press Show all posts (N) to list them all. Past days are faded. Hover over today or a later day to show + Add Post. Month is the only view where you can drag a post to another day: see Drag to reschedule.
Week. One column per day, with a row for each hour that has a post; hours without posts are left out. Hover over a day's column to show its + Add Post.
Day. The same layout for a single day.
Lots of posts? The calendar loads up to 2,000 scheduled and 2,000 published posts per period. Above that, a banner says "Only the first {loaded} of {total} scheduled and published posts in this period are shown." Switch to the week or day view to see them all.
What a post shows#
Each post on the calendar shows:
- A preview: the first photo or video, the link's image, or the start of the text. It's taken from the post's first network.
- A type badge in the corner: Story, Video, Carousel, Link, Photo or Text.
- The network icons the post goes to.
- The title and time. A post without a title shows as "Post: {number}".
- The accounts it goes to: up to four pictures, then +N. Hover over one for its name.
- The status color in the month view: blue for scheduled, green for published, red when an account failed.
All the colors and markers are explained in What the colors mean.
Open a post#
Click a post's picture, text or title. A preview window opens with the media, networks, date and time, title, the first lines of the caption (press more for the rest) and the accounts.
| Button | When it shows | What it does |
|---|---|---|
| Edit | Scheduled posts | Opens the post in the editor. |
| View | Posts where an account failed | Opens the post in the editor to see what went wrong. |
| ⌄ | Owners, Admins and Editors | More actions: the same as the ⋮ menu below. |
Close the window with X or by clicking outside it.
Post actions#
Hover over a post and click ⋮:
| Action | What it does | Who can use it |
|---|---|---|
| Edit | Opens the post in the editor. | Owner, Admin, Editor |
| Duplicate | Makes a draft copy and opens it in the editor. The copy is titled "{title} - Copy 1", has no date, and isn't scheduled until you press Schedule All. | Owner, Admin, Editor |
| Duplicate Failed | On a published post where some accounts failed: copies the post for the failed accounts only, so you can fix it and send it again. | Owner, Admin, Editor |
| Publish now | On a scheduled post: asks "Post now?" ("This post will be published now. Proceed?"). Press Post and Heropost shows "Posting in progress". The post leaves its day, then appears today once it's published. | Owner, Admin |
| Delete | Asks "Delete Post?". Press Delete to remove the post from Heropost. | Owner, Admin |
Deleting doesn't remove a published post from the network. It removes the post from Heropost only. To take a published post down, delete it on the network itself. Deleting a scheduled post cancels it.
Editing a scheduled post moves it back to Draft. In the editor, press Edit, make your changes, then press Schedule All again, or it won't be published. See Edit, reschedule or delete a post.
Add a post on a day#
- Hover over today or a later day (in the week view, that day's column).
- Press + Add Post. Heropost creates a draft for that day, at the current time of day (a few minutes from now if it's today), and opens it in the editor.
- Write the post, adjust the time if you like, and press Schedule All.
Until you press Schedule All, the new post is a draft: it waits under Content → Drafts and isn't on the calendar.
Which posts appear#
| Post | On the calendar? |
|---|---|
| Scheduled | Yes, on its date |
| Published | Yes, on the day it went out |
| Repeating (set with Repost Settings) | Yes, once for each future repeat |
| Being published right now | Briefly hidden, then back as published |
| Draft | No: see Content → Drafts |
| Waiting for approval | No: see Content → Drafts, the Feed or Team → My Approvals |
A post also shows only if at least one of its accounts is switched on in the account row at the top. See Show or hide accounts.
On a phone or tablet#
On phones and tablets, the calendar is a list of posts, day by day.
- Switch with the Month, Week and Day chips; use the arrows and Today to move around.
- Each day is headed "Today · …", "Tomorrow · …" or its date, with a count of posts.
- Each post shows a thumbnail, its caption, time and status: Scheduled, Published or Posting. Tap it to open it in the editor.
- + Schedule a new post at the bottom starts a new post.
- The Status and Platform filters work here too. There's no account row on a phone; the accounts switched on for the workspace on a computer still apply.
Who can do what#
| Owner, Admin | Editor | Viewer | |
|---|---|---|---|
| See posts and open previews | Yes | Yes | Yes |
| Edit, Duplicate, Duplicate Failed | Yes | Yes | No |
| Drag to another day | Yes | Yes | No |
| Publish now, Delete | Yes | No | No |
| Add a post on a day | Yes | Yes | No |
If it doesn't work#
| What you see | What it means | What to do |
|---|---|---|
| A post you scheduled isn't on the calendar | Its accounts are switched off in the account row, a filter hides it, it's still a draft, or it's in another workspace. | Open the account row's arrow and switch accounts on; set Status and Platform to All; check Content → Drafts; check the workspace name at the top. |
| The calendar is empty | No account is switched on, or a filter hides everything. | Open the account row's arrow and press Select All. Set the filters to All. |
| "Viewers cannot create or modify content in this workspace." | Your role in this workspace is Viewer. | Ask the workspace owner for the Editor or Admin role. |
| "Only the workspace owner or an admin can perform this action." | Publish now and Delete are for owners and Admins. | Ask an owner or Admin. |
| "Post {id} cannot be published because it is in the process of publishing or has already been published." | The post is already going out, or went out. | Wait a moment and check the post again. |
| "Failed to duplicate post" or "Failed to delete post" | The action didn't go through. | Try again. If it repeats, contact support with the post's title and the time. |
| On a phone: "Nothing scheduled for this period." | No scheduled or published posts in this period, or the filters hide them. | Try another period or view, or set the filters to All. |
Questions#
Why aren't my drafts on the calendar?
The calendar shows scheduled and published posts only. Drafts are under Content → Drafts, and the Feed lists drafts next to everything else. A draft goes on the calendar once you press Schedule All.
Can I see all my workspaces in one calendar?
No. The calendar shows the workspace you're in. Switch workspace with the workspace name at the top.
Why is a post at a different time than I expected?
The calendar uses the workspace's time zone, not your computer's. To check it, click your workspace name at the top of Heropost, then Settings, and look at Time Zone.
How do I see why a post failed?
Failed posts have a red marker. Hover over the account picture with the red dot to read the reason, or press View in the preview window. All recent failures are also listed under Content → Posting Errors.
Can I change a post's date without opening it?
Yes: drag it to another day in the month view. It keeps its time of day. See Drag to reschedule.
