Notifications: the bell, team alerts and emails

The bell at the top of Heropost shows post results and team activity, and Team → Notifications chooses which team alerts appear there. Here's what each alert means, who gets it, and which emails Heropost sends.

How it works#

Heropost tells you what happened in three ways:

  • The bell at the top right shows alerts for the workspace you're in: posts that published or failed, and team activity.
  • Team → Notifications lets each person choose which team alerts appear in their bell.
  • Emails go out for a few important events, such as failed posts and new team members.

The bell#

Click the bell at the top right of Heropost (tooltip Notifications). A red dot means there's something you haven't seen. On a phone, the bell is the round button at the top right of the screen.

  • The panel has two tabs, Posts and Team, each with its own count.
  • Click an alert to go to it. × removes one alert; Clear All empties the tab you're on.
  • Opening the panel marks everything as seen. Click anywhere outside it to close it.
  • New alerts arrive while you work, without reloading.
  • Each workspace has its own alerts. Switch workspace to see that workspace's alerts.

Posts tab#

Alert Text When
New posts published "{x}/{y} posts published successfully" Every account in the post published.
Some of your posts failed "{x}/{y} posts published successfully" Some accounts published, others failed.
Post publishing failed "{x}/{y} posts were published" None of the accounts published.
Social account paused "{account} was paused after repeated failed posts. Reconnect it to resume posting." An account failed to publish several times in a row.

Click an alert to open the post. Post alerts go to the workspace owner. With nothing to show, the tab says Nothing New: "No post updates for now. We'll let you know when something comes up."

A post failed? See The Posting Errors page and A post didn't publish: a checklist.

Team tab#

Alert Text Button Who gets it
Approval Request "{name} submitted "{post}" for your approval." Review (opens My Approvals) The workspace owner
Post Approved "{reviewer} approved "{post}"." View Post The person who submitted it
Post Rejected "{reviewer} rejected "{post}"." plus the reason, if there is one View Post The person who submitted it
Team Member Joined "{name} accepted the invitation and joined {workspace} as {role}." View Team The workspace owner
Post Submitted "Your post "{post}" has been submitted for approval." View Feed You, right after you submit a post
New Comment "{name} commented on "{post}": {start of the comment}" View Feed You, when you open the Feed and there are new comments

With nothing to show, the tab says No Team Activity.

  • Admins don't get Approval Request. Only the workspace owner does. Admins find waiting posts in Team → My Approvals and the Feed.
  • Team alerts are kept in the browser you use. Another browser or device can show a different list. Post Submitted and New Comment only appear in the browser where they happened.

Choose your team alerts#

  1. Switch to the workspace, then open Team → Notifications.
  2. Turn the switches on or off. Each change saves straight away, and Heropost shows Preferences saved.
Switch What it controls
Post submitted for approval Approval Request in your bell (you're the workspace owner)
Post approved Post Approved in your bell
Post rejected Post Rejected in your bell
New member joined Team Member Joined in your bell (you're the workspace owner)
  • The switches control alerts in the bell. Emails, such as the failed-post emails, aren't affected.
  • They're yours, for this workspace. Each person sets their own, and you set them again in each workspace. All are on at first.
  • To see your team alerts, open the bell's Team tab.
  • The page needs a team plan. If the owner's plan doesn't include team members, Heropost shows "Looks like you've reached the limit of your plan. Please upgrade your account to access for features." and switches flip back. See Team seats on each plan.

Questions#

How do I stop the failed-post emails?

There's no setting for them in Heropost. They go to the workspace owner whenever some or all accounts in a post fail to publish.

I'm on the team. Why don't I see post alerts?

Alerts about published and failed posts go to the workspace owner. Check the post's status in the calendar or on Posting Errors instead.

I'm an Admin. Why didn't I hear about a post waiting for approval?

Only the workspace owner gets the Approval Request alert. Check Team → My Approvals, or the Feed, for posts marked Pending Approval.

Can I get alerts for another workspace without switching?

No. The bell shows the alerts of the workspace you're in.

How do I stop newsletters and offers?

Use the unsubscribe link at the bottom of the email.
