Workspaces: create, switch, rename and delete

A workspace keeps one brand or client separate, with its own social accounts, posts, calendar and time zone. Create one per brand, switch between them from the top bar, and rename or delete them at any time.

What a workspace is#

A workspace holds everything for one brand or client: its connected social accounts, posts, drafts and calendar, automations, watermark, time zone, and what Hero_Agent knows about that business (its knowledge and brand kit). Accounts and posts in one workspace never show up in another, so you can run several brands without mixing them up.

Your monthly AI actions and Hero_Photo credits are one pool, shared by all your workspaces. Each new Heropost account starts with one workspace called My Workspace, set to your browser's time zone.

Switch to another workspace#

  1. Click your workspace name at the top of Heropost.
  2. Under My Workspaces, click the workspace you want. The current one has a check mark.
  3. Heropost shows You changed workspace. Pages such as the calendar and Accounts now show the workspace you picked.

If you have more than five workspaces, type in Search workspaces… at the top of the list to filter it.

On a phone: tap the workspace picture in the bottom bar, tap the workspace name, then choose a workspace in Switch workspace.

Create a workspace#

  1. Click your workspace name at the top of Heropost, then New Workspace. (Or open Manage Workspaces and press Add Workspace.)
  2. In Create Workspace, type a Workspace Name.
  3. Choose the Time Zone your posts should follow.
  4. Optional: add Notes, and a picture with Change Image.
  5. Press Create. Heropost shows Successfully added the new workspace and switches you to it.

Field Rules
Workspace Name Required. Up to 30 characters. Must be different from your other workspace names (the check is case-sensitive).
Time Zone Required. Scheduled times in this workspace follow it.
Notes Optional. Up to 255 characters. Shown when you hover the workspace on Manage Workspaces.
Picture Optional. JPG, PNG or GIF, under 2 MB. You crop it to a circle in Upload Workspace Image.

Rename a workspace or change its time zone#

  1. Switch to the workspace.
  2. Click your workspace name at the top of Heropost, then Settings.
  3. In Edit Workspace, change the Workspace Name, Time Zone, Notes or picture.
  4. Press Update. Heropost shows Workspace settings updated.

You can also edit any workspace from Manage Workspaces: open the ⋮ menu on its card and choose Edit. Update stays grayed out until you change something.

The Manage Workspaces page#

Click your workspace name at the top of Heropost, then Manage Workspaces. Each workspace has a card with its picture, name and number of connected accounts. The current workspace is highlighted.

  • Click a card to switch to that workspace.
  • The ⋮ menu on a card has Edit, Switch to this workspace and Delete.

Delete a workspace#

Deleting is permanent. It removes the workspace's social accounts, posts, media and automations, and team members lose access to it. Published posts stay on the social networks. There's no undo.

  1. Switch to the workspace you want to delete.
  2. Click your workspace name at the top of Heropost, then Settings.
  3. In Edit Workspace, press Delete.
  4. Confirm with Delete in Delete Workspace?. Heropost shows Workspace deleted successfully.

You can also delete from Manage Workspaces: ⋮ on the card, then Delete. If you delete the workspace you're in, Heropost switches you to the workspace you changed most recently.

You always keep at least one workspace. Deleting your last one shows You should have at least one workspace.

Who can do what#

If it doesn't work#

Message What it means What to do
"Workspace name should be unique" You already have a workspace with that name. Choose a different name.
"You can have up to 30 characters in caption" The workspace name is longer than 30 characters. Shorten the name.
"You can have up to 255 characters in caption" The notes are longer than 255 characters. Shorten the notes.
"This field is required" The name or time zone is empty. Fill it in.
"The timezone is invalid" The time zone wasn't picked from the list. Choose one from the Time Zone list.
"Looks like you've reached the limit of your plan. Please upgrade your account to access for features." You own as many workspaces as your plan allows. Delete a workspace you no longer use, or upgrade your plan.
"You should have at least one workspace" You tried to delete your only workspace. Create another workspace first, if you want to replace it.
"File format should be one of the following: .jpg, .png. *.gif" The picture isn't a JPG, PNG or GIF. Use one of those formats.
"Please upload file less than 2 MB" The picture is 2 MB or larger. Use a smaller image.

Questions#

When should I create another workspace?

Create one for each brand or client whose posts, accounts and team you want to keep apart. If you post for one business on several networks, one workspace is enough: connect all its accounts there.

Can the same Facebook Page or Instagram account be in two workspaces?

Yes. Connect it in each workspace. Each copy counts as one account on your plan, and posts stay in the workspace where you made them.

Do workspaces share AI actions and Hero_Photo credits?

Yes. Your monthly AI actions and Hero_Photo credits are one pool for all your workspaces. Hero_Agent's knowledge of the business, and its brand kit, are kept per workspace.

Can I move posts or accounts from one workspace to another?

Accounts: connect the account in the other workspace, then remove it from the first one (see Remove an account). Posts belong to the workspace they were made in.

Where do I set the time zone my posts use?

Click your workspace name at the top of Heropost, then Settings. Choose the Time Zone and press Update. Each workspace has its own time zone.
