How it works#
Every post you make in Heropost is written in the post editor. One post can go to several networks and accounts at once. You write it once on the All tab, change it for a network on that network's tab when you need to, and watch the preview on the right.
The editor saves as you type, so there's no Save button. A post stays a draft until you press Schedule All or Publish All. A draft is never published, even when its date passes.
Open the editor#
| Where you click | What opens |
|---|---|
| Content → Create Post in the left menu | The draft you edited most recently. If the workspace has no drafts, a new empty post. |
| Create a post on Home | Always a new post, with the same networks and accounts as your last post. |
| New Post, top left in the editor | A new post, with the same networks and accounts as your last post. |
| The arrow next to New Post | A new post, started the way you choose (below). |
| A post in Content → Drafts, the calendar, the Feed or Content → Posting Errors | That post. |
Create Post opened an old draft? That's on purpose: it takes you back to your latest draft so nothing gets lost. Press New Post to start a new one.
A new post is saved as a draft straight away. Until you give it a title, it's called by its number, such as "Post: 12".
Start a new post your way#
Click the arrow next to New Post:
| Choice | What you get |
|---|---|
| Last Settings (Default) | The same networks, selected accounts and layout as the post you worked on last. This is what New Post does. |
| All Accounts → Text, Image, Video, Carousel, Story or Link | Every connected account on the networks that take that kind of post, all selected, with the post type set. |
| Social Network → All, or one network | Every network with a connected account, or only the one you pick. No account is selected yet: you choose them. |
| Posting Group → a group | The networks and accounts of that group, all selected. + Add Posting Group opens the page where you make one. See Posting groups. |
| Bulk Upload (CSV) | Imports up to 100 posts from a spreadsheet. See Bulk upload posts from a CSV. |
The networks each All Accounts choice includes, when you have an account connected there:
| Choice | Networks |
|---|---|
| Text | Facebook, X, LinkedIn, Google Business Profile, Reddit, Telegram, Threads, Bluesky |
| Image | Facebook, Instagram, X, LinkedIn, Google Business Profile, Pinterest, Reddit, Telegram, Threads, Bluesky |

First post in a new workspace? Start it from All Accounts and a type. It includes only the networks where you've connected an account.
The screen, part by part#
The post list (left)#
From top to bottom: posts published in the last 7 days, your Drafts, then posts scheduled for the next 7 days. Published and scheduled posts are grouped by day.
- Only four drafts show at first. Click Show all drafts (N) for more. Older drafts are under Content → Drafts.
- Each card shows a picture or the start of the text, the networks, the title and the date. While a post goes out it reads In progress; afterwards, for example, Published 3/4: three of the four selected accounts published.
- The card's ⋮ menu has Duplicate, Delete and, when some accounts failed, Duplicate Failed.
- Posts waiting for approval aren't in this list. Find them under Content → Drafts or in the Feed.
Title, date and ⋮ (top)#
- Title. Click "Post: 12" or the pencil to name the post, up to 50 characters. The title is how the post is listed in Heropost. YouTube and Pinterest have their own Title fields on their tabs.
- Schedule. The date and time the post goes out. When it's empty, the main button publishes right away. See Schedule, publish now, or save a draft.
- ⋮ next to the date: Repost Settings (see Repeat a post), Duplicate, Duplicate Failed when some accounts failed, and Delete (see Edit, reschedule or delete a post).
Network tabs and the All tab#
- There's a tab for every network. The post's networks come first; the others are grayed out.
- All holds the caption, link, first comment and media shared by every network that takes its content from the All tab. It's there when the post was started for more than one network. See Write once, then adjust it for each network.
- A red dot on a tab means something there needs fixing. A blue dot means content was copied into that tab and you haven't looked at it yet.
- The gear ⚙ at the end of the tabs opens Posting Settings, where you choose the networks.
The account row and preview (right)#
- The avatars are the accounts that get the post. Highlighted ones are selected; click an avatar to switch it on or off. Hover over one for its name.
- The All tab shows the accounts of every network in the post. A network's tab shows only that network's accounts.
- Under the row, the preview shows the post as the first selected account would publish it. On the All tab it shows the first network; click another tab to preview that network. Click a photo or video to see it full screen. The likes and counts in previews are only placeholders.
The bottom bar#
On the left, "Saving changes" while Heropost saves, then "Changes saved". On the right, the main button. Which one you see depends on the post and your role:
| The post is… | You see |
|---|---|
| A draft with no date | Publish All (owners and Admins) |
| A draft with a date | Schedule All (owners and Admins) |
| A draft, and your role is Editor | Submit for Approval |
| About to publish | 5s Cancel Posting, counting down |
| Scheduled | Edit: moves it back to Draft so you can change it |
| Waiting for approval | Edit: withdraws it from review |
| Being published | Posting in progress... |
| Published | Published 3/4 (accounts that published, out of those selected) |
For owners and Admins, when a network's tab is open, a small square button next to the main button sends the post to that network only. Its tooltip reads, for example, "Schedule to Facebook only" or "Publish to Facebook only". Viewers see no buttons.
Choose the networks: Posting Settings#
- Click the gear ⚙ at the end of the network tabs.
- In Posting Settings, switch networks on or off. Select All and Unselect All switch them all.
- Press Save. At least one network has to stay on.
Switching a network off deletes what you wrote for it in this post: its own text, media and options. If you switch it back on, its tab starts over, with no account selected. When the post has an All tab, the network takes the All tab's content again.
Choose the accounts#
- Click the avatars, or open the arrow at the end of the row for the Accounts list: a switch per account, Select All and Unselect All, and a Search box when there are more than five accounts.
- Each selected account gets its own copy of the post.
- If a network has no connected account, the row shows Add accounts and "Please, add accounts to create a post." Click it to connect one, or switch that network off in Posting Settings.
- Each post to an X account uses one X credit when it goes out. See X credits.
Who can do what#
| Role | In the post editor |
|---|---|
| Owner, Admin | Everything: write, schedule, publish, edit and delete. |
| Editor | Write, edit and duplicate posts, set repeats, and press Edit on a scheduled post. Sends posts with Submit for Approval instead of scheduling or publishing them. Can't delete posts. |
| Viewer | Can open posts, but not change them. |
See Roles and permissions and Approvals.
On a phone#
On a phone or tablet, the editor works in three steps: Post to (the accounts), Content (the tabs and fields) and Review (the preview and the buttons). Move between them with Next → and ← Back. The New Post button reads Select Post Type there and opens the same menu. See Using Heropost on a phone.
If it doesn't work#
| What you see | What it means | What to do |
|---|---|---|
| Schedule All or Publish All is grayed out, and hovering shows "Please select accounts for {Network}" | That network is on for this post, but none of its accounts is selected. | Select an account on that network's tab, or switch the network off in Posting Settings. |
| Hovering shows "Post incomplete." or "{Network} post incomplete." with a reason, and a tab has a red dot | Something that network needs is missing or too long. | Open the tab with the red dot and fix the field marked in red. Limits: Character limits and media specs. |
| Add accounts and "Please, add accounts to create a post." | No account is connected for that network. | Connect an account, or switch the network off in Posting Settings. |
| Create Post opens an old draft | It always reopens your latest draft. | Press New Post. |
| A network's tab is grayed out | That network is off for this post. | Switch it on in Posting Settings, then select its accounts. |
| The title stops at 50 characters | That's the longest a title can be. | Shorten it. |
| An Error window: "Some of your posts have not been published. Please see the details in the Accounts section" | Some accounts failed when this post went out. | Press Got it, then hover over the account with the red dot for the reason. See The Posting Errors page. |
| "Viewers cannot create or modify content in this workspace." | Your role in this workspace is Viewer. | Ask the workspace owner for the Editor or Admin role. |
| "Only the workspace owner or an admin can perform this action." | Only owners and Admins can delete posts. | Ask an owner or Admin to delete it. |
| A change disappears and an error message appears | Heropost couldn't save that change. | Reload the page and make it again. If it keeps happening, contact support. |
Questions#
Is there a Save button?
No. Every change is saved within a moment: watch for "Changes saved" at the bottom left. Saving doesn't publish anything. Only Schedule All and Publish All do.
Can I change a post after it's published?
No. Published posts are locked in Heropost. Change them on the network itself, or use ⋮ → Duplicate to make a new draft from it. See Edit, reschedule or delete a post.
Can I change the networks or accounts of a scheduled post?
Yes. Open the post and press Edit. It goes back to Draft, and you can change everything. Then press Schedule All again, or it won't be published.
I post to two accounts on the same network. Can they get different text?
Not in the same post: every account on a network gets that network's version. For different text, make a second post with ⋮ → Duplicate, and select the other account on each.
What does the blue dot on a tab mean?
Content was copied into that network, for example with Update caption to all social networks?, and you haven't opened its tab since. It goes away when you open the tab.
